Settings are divided between the Automations tab (which controls what happens) and the Misc tab (which controls data import).
Part 1 — Billing Plan: Automations Tab
1. Automate Move Outs (Required)
The master switch for auto move-outs. When enabled, Vitality automatically generates a final bill for any tenant whose move-out date is reached. When disabled, final bills must be generated manually.
2. Auto Post And Send Bills (Optional)
When enabled, final bills are automatically posted and sent to the tenant without requiring manual approval.
Use with caution — enabling this means final invoices go out without a review step.
3. Auto Post Charges to API (Optional)
When enabled, final bill charges are automatically pushed to the connected property management system after posting. Requires an active PM API integration.
4. Auto Import Convergent Charges (Optional)
When enabled, convergent charges are automatically imported from the PM system and included on final bills.
5. Trigger Move Out in Advance of Move Out Date (Optional)
When enabled, Vitality will process the move-out and generate the final bill ahead of the actual move-out date. Useful for ensuring bills are ready before the tenant's last day.
Part 2 — Billing Plan: Misc Tab
Important: The two Import settings below are prerequisites for auto move-outs to function when using a PM API integration. Without at least one of them enabled, Vitality will not have the move-out date data needed to trigger the automation.
1. Import Move Out Dates (Suggested)
Imports move-out dates from the connected property management system. Only imports move-out dates that have already passed — meaning it will process any tenant whose move-out date is in the past at the time of import.
2. Import Scheduled Move Out Dates (Suggested)
Imports move-out dates from the PM system regardless of whether the date has passed or is still in the future. Enable this (instead of or in addition to Import Move Out Dates) when you want Vitality to be aware of upcoming move-outs in advance.
3. Import Past Residents From Previous Months (Suggested)
By default, Vitality imports only currently active residents from the PM API. Setting this to 1 or higher allows Vitality to look back that many months and import past residents as well. For example, a value of 2 includes residents who moved out within the last two months.
4. Label Final Bill Charges with "Final" (Suggested)
When enabled, line items on move-out invoices are labeled "Final" for tenant clarity. This is a display-only setting and does not affect billing calculations.
